Things worth knowing before you get in touch
Do I need to do anything, or does the bookkeeping just happen in the background?
For the most part, it happens in the background. Receipt capture through Dext means you photograph or forward invoices as they come in — that is typically the main input required from you. Bank feeds connect directly to the cloud software, so transactions pull through automatically. We do the reconciling, categorising, and reviewing each month. If something is unclear, we ask — we do not guess.
What does bookkeeping cost, and what is included in the monthly fee?
Pricing is fixed and agreed upfront before anything starts. The monthly fee covers bookkeeping, reconciliation, and cloud software access. VAT returns are typically included for VAT-registered businesses. We will give you a specific figure once we understand your transaction volume and whether any catch-up work is needed — there is no standard rate card because businesses vary considerably. The quote is free and without obligation.
My books are behind. Can you still help, and what does catching up involve?
Most clients who come to us have books that are at least partially behind — some by a few months, occasionally more. We assess the backlog in the initial conversation and quote for any catch-up work as a one-off figure, separate from the ongoing monthly fee. It is quoted clearly before we start, so you know the cost upfront. Once caught up, the ongoing service keeps things current from that point.
Is there a long-term contract, or can I leave if it is not working?
There is no long-term contract. Most clients pay monthly and can give notice if they choose to move on. We would expect to discuss any concerns first — in most cases there is something straightforward to resolve — but there is no penalty for leaving and no obligation to stay beyond the notice period. You would leave with your books in order and all records transferred.
Which software do you use, and do I need to buy it separately?
We work with Xero, QuickBooks Online, and FreeAgent, and use Dext for receipt capture. Software access is included as part of the service for advisory clients — you do not need to set up or pay for a separate subscription. If you already have a software preference, we will work with that where possible. If you have no preference, we will recommend the best fit for your business type and transaction volume.
Will I be able to see what my tax bill is going to be during the year?
Yes. Because the bookkeeping is current, your profit figure is visible at any point in the year — which means your corporation tax or income tax liability can be estimated whenever you need it. You will not reach January or year-end and encounter a figure you were not expecting. We flag anything worth planning around as it becomes visible, rather than waiting for the deadline to arrive.
